How it connects

Google Drive is an ingestion connector. The folders you name are crawled on a schedule, and their files and metadata are extracted and brought inbound. The pull is scoped by an extension allowlist and excluded folders, the folder hierarchy is preserved or flattened as configured, and after a file lands the source is left in place, moved or deleted, as configured. Ingestion runs on the connector's schedule rather than on Drive events.

Nothing flows the other way. Drive is not a storage provider, so the library's copy lives on the platform's own storage, and the connector writes nothing back beyond the configured move or delete. Drive sharing settings do not carry across: who can open an ingested item is decided by the portal's own roles, applied inside every search and every answer.

A scenario

  1. SetupThe administrator adds the District Policies and Board Meetings shared drives as ingestion connectors in AI Intelligence Hub: PDF, Word and video accepted, the Archive-old folder excluded, hierarchy preserved, source left in place, run nightly.
  2. Next morningA principal opens the library and finds the policies in the same folder structure, and every board recording with a transcript. She searches "graduation requirements" and the results include a policy PDF and the minute of a meeting where it was discussed.
  3. Same weekThe HR director asks an assistant scoped to District Policies, "How much bereavement leave does a classified employee get?" and gets the answer with a citation to the policy and page. Nothing outside that folder is used.
  4. ThursdayThe clerk uploads Wednesday's board recording to the shared drive as usual. After the next run it is in the library, transcribed, and a workflow drafts a summary the superintendent reads alongside the recording.
  5. QuarterlyA lifecycle policy soft-deletes drafts older than three years from the library, previewed first. The portal's retention period for deleted content then governs how long they stay recoverable.
