Integration brief QueTel TraQCase and Records Management

The Property Room and the Media Store, Bought Separately

This connector is not prebuilt. It would be built to your requirement on the REST API and ingestion path the platform already uses, with scope and effort agreed per engagement. QueTel TraQ manages physical evidence, property and quartermaster inventory for law enforcement agencies, alongside digital evidence and lab analysis in the same database. The reason to connect it is ordinary and expensive: the property room system and the media store were bought years apart, and nothing joins the physical item to the recording of it.

What you can do together

  • Join the physical property record to the recording of the item, so neither is found without the other.
  • Read custody entries and digital evidence together when a question is asked about an item.
  • Settle which identifier joins the systems, so unusually handled items do not fall through.
  • Decide which system holds authoritative custody rather than maintaining two chains.

How it connects

Records and media would move between the two so the physical property record and the digital evidence stay connected. The identifier that carries across is the substance of the work: a property item number and a case number are different things, and an engagement would establish which one joins the two systems, because getting that wrong produces a link that works for most items and fails for the ones handled unusually.

A workflow could then read the property record alongside the digital evidence, so a question about an item reaches both the custody entries in TraQ and the footage in the library.

An engagement would settle where custody is authoritative. Both systems maintain a chain, and two chains that disagree about one item is worse than one chain with a gap, so the decision is which system is the record and how the other references it. TraQ stays the property and inventory system, and nothing is written back unless a step is scoped for it.

How it works QueTel TraQCase and Records Management

A scenario

  1. ScopingThe engagement would establish the joining identifier and which system holds authoritative custody.
  2. SetupThe connection is configured once against the TraQ API with that identifier mapped.
  3. IntakeA seized item is logged in TraQ and the recording of its seizure files in the library, joined by the agreed identifier.
  4. A questionAn investigator asks about the item and gets the custody entries and the footage together.
  5. DisclosureThe physical record and the media are produced as one set rather than assembled from two systems.

What stays where

TraQ remains the property and inventory system

Physical evidence, property and quartermaster records stay there.

One joining identifier, agreed up front

Property item number and case number are different, and the wrong choice fails on unusual items.

One authoritative custody chain

Two chains disagreeing about an item is worse than one chain with a gap.
